Drive can provide encrypted and secure access to your files. An integrated suit of secure, cloud-native collaboration and productivity apps powered by Google AI. Storage space varies because “Office 365 gives users 50 GB of space in Outlook and 1 TB in OneDrive. Google Apps provides 30 GB of space which is spread among Gmail, Drive and Picasa”. He stated that “comparing G Suite to Office 2016 is like bringing a handgun to a cannon fight … Microsoft’s PC-based suite is designed to have almost every feature anyone might ever need; Google’s online suite is designed to have most features most people use daily.” Bradley praised Google’s collaborative apps, writing that it was “besting what Microsoft offers in 365”.

  • Google Workspace (formerly G Suite and Google Apps) is a collection of cloud computing, productivity and collaboration tools, software and products developed and marketed by Google.
  • These were replaced by Backup and Sync for personal users and Drive File Stream for business users.
  • On May 17, 2022, Google announced they would offer “G Suite legacy free edition” accounts the option to self-identify they are using these accounts for non-business use.
  • Since 2020, Shared Drives had an ability to assign different access levels to files and folders to different users and teams, and an ability to share a folder publicly.

The extension can be used for opening Office files stored on the computer using Chrome, as well as for opening Office files encountered on the web (in the form of email attachments, web search results, etc.) without having to download them. In order to view and edit Docs, Sheets, or Slides documents offline, users need to be using the Google Chrome web browser. The three apps are available as web applications, as Chrome apps that work offline, and as mobile apps for Android and iOS. It allows users to create and edit documents, spreadsheets, and presentations online while collaborating in real-time with other users. In Shared Drives, file/folder sharing and ownership are assigned to a team rather than to an individual user.

  • By weighing the advantages and disadvantages, users can determine whether Google Drive will meet their personal and/or business storage needs.
  • Originally, Gmail, Google Docs, and Picasa had separate allowances for free storage and a shared allowance for purchased storage.
  • This had resulted in users receiving spam from unsolicited shared drives.
  • He wrote that Drive was “a great addition to Google armory of apps and everything does work seamlessly”, while again criticizing the interface for being “confusing” and that the file view was “not quite intuitive enough” without file icons.
  • Files accessed through the web app live entirely in the cloud unless they are manually downloaded.
  • The suite also consists of Google Drawings, Google Forms, Google Sites, and Google Keep.

The feature was announced to be expanded to iOS and the web in March 2017, though the website interface received the feature in May. This was later removed one day after it was publicly discovered following user backlash. A number of external web applications that work with Google Drive are available from the Chrome Web Store.
Google Drive allowed users to share drive contents with other Google users without requiring any authorization from the recipient of a sharing invitation. Although Google has a 99.9% uptime guarantee for Google Drive for Google Workspace customers, Google Drive has suffered downtimes for both consumers and business users. In March 2017, Google announced that Google Drive had 800 million active users. On September 21, 2015, it was announced that Google Drive had over one million organizational paying users. On October 1, 2014, at its Atmosphere Live event, it was announced that Google Drive had 240 million monthly active users.

Surprisingly iOS Drive works better than Androids version

In July 2021, Google Drive for Desktop, a new app for Windows and Mac, was released replacing “Backup and Sync” and “Drive File Stream”. Its main function is for the user to be able to set certain folders to constantly sync onto their Google Account’s Drive. It was made mainly to replace the Google Drive desktop app, which was discontinued.

Google announced shutting down Google Currents on July 5, 2023, for business and education. As part of Google Workspace, Google Currents comes with additional features designed for business use, including enhanced privacy controls and restricted communities. Google Meet is a standards-based Video Conferencing application, using proprietary protocols for video, audio and data transcoding. Although Google Hangouts remained part of Google Workspace, Google shut down Google Hangouts on November 1, 2022, and has since migrated all its users to Google Chat. It is one of two apps that constitute the replacement for Google Hangouts, the other being Google Meet.
Enterprise-level customers receive S/MIME encryption, noise cancellation in Meet, and as much storage as they need. The Starter plan includes email addresses with custom domains (@yourcompany.com), video and voice calls, calendars, 30GB storage, collaborative documents, spreadsheets, presentations, and sites, controls for security and privacy, and 24/7 phone and email support. All Workspace Business and Enterprise plans include access to Gemini for Workspace without the need to purchase an additional add-on. This will not affect access to other Google Services, including YouTube, Google Photos, and Google Play, nor paid content, including YouTube and Play Store purchases. If a user does not manually upgrade to a paid tier and if no payment information is entered in the account admin page, the account will be suspended starting July 1, 2022. On January 19, 2022, Google announced any “G Suite legacy free edition” accounts must be upgraded to a paid tier by May 1, 2022, or the account will be automatically upgraded.
In comparing the policies with competing services, Patel wrote that “it’s clear that they need the exact same permissions—they just use slightly more artful language to communicate them”. In particular, privacy advocates have noted that Google has one unified set of Terms of Service and Privacy Policy agreements for all its products and services. However, he also criticized the user interface for being confusing to navigate, and wrote that “Offline editing isn’t simple”. He added that “Compatibility is rarely an issue”, with importing and exporting options, and that the free storage of 15 gigabytes was “generous”. He stated that “We think the user interface needs a lot more work. It’s like a retread of Google Docs at the moment and Google surely needs to do work here”.
Google Keep is a note-taking service with a variety of tools for notes, including text, lists, voice, and images. Google Currents was a software application developed by Google for internal enterprise communication. It began as a feature of Gmail and Calendar before launching as a standalone app in June 2018.

For Workspace users, ownership transfers are only allowed within the same domain, unless explicitly permitted by admin settings. Content owners can share files or folders by entering email addresses or generating a shareable link. By default, the user who uploads or creates a file or folder in Google Drive becomes its owner. Google also provides dedicated desktop and mobile device apps for Drive that can be downloaded and installed locally.
Further enhancements came, on June 25, 2007, when Google added a number of features to Google Apps, including mail migration from external IMAP servers, shared address books, a visual overhaul of Google Docs and Google Sheets, and increased Gmail attachment size. Google announced an edition for schools, then known as Google Apps for Education, on October 10, 2006. Available for free as a beta service, it included Gmail, Talk, Calendar, and the Page Creator, which was later replaced with Sites. From February 10, 2006, Google started testing a version of the service at San Jose City College, hosting Gmail accounts with SJCC domain addresses and admin tools for account management. The suite was first launched in February 2006 as Gmail for Your Domain, before being expanded into Google Apps for Your Domain in the same year, later rebranded as G Suite in 2016, then rebranded again in 2020 as Google Workspace. Depending on edition Google Workspace may also include the digital interactive whiteboard Jamboard and an option to purchase add-ons such as the telephony service Voice.
The three access levels offered are “can edit”, “can comment” and “can view”. Files and folders can also be made “public on the web”, which means that they can be indexed by search engines and thus can be found and accessed by anyone. This generates a secret URL for the file, which may be shared via email or private messages. Google Drive incorporates a system of file sharing in which the creator of a file or folder is, by default, its owner.

Google Chat

On March 10, 2014, Google launched the Google Apps Referral Program, which offers participating individuals a $15 referral bonus for each new Google Apps user they refer. Later that year, Google announced that the free version of Google Apps would no longer be available to new customers. On March 28, 2012, Google launched Google Vault, an optional electronic discovery and archiving service for Google Apps for Business customers. A flexible billing plan was also introduced, giving customers the option of paying $5 per user per month with no contractual commitment. On June 9, 2009, Google launched Google Apps Sync for Outlook, a plugin that allows customers to synchronize their email, calendar, and contacts data between Outlook and Google Apps. On October 3, 2007, a month after acquiring Postini, Google announced that the startup’s email security and compliance options had been added to Google Apps Premier Edition.

Google Drive for business: Enterprise use

On August 28, 2006, Google launched Google Apps for Your Domain, a set of apps for organizations. It consists of Gmail, Contacts, Calendar, Meet and Chat for communication; Drive for storage; and the Google Docs Editors suite for content creation. As enterprise reliance on Google Drive grows, IT administrators will need to implement robust data storage management strategies to ensure compliance and protect against security threats. Google automatically renews Drive subscriptions at the end of each billing cycle and gives a seven-day betico grace period for users to update their payment information if the auto-renewal fails. The service also supports integration with third-party applications and browser extensions that can be acquired through the Chrome Web Store, Apple’s App Store or Google Play. Mobile users can also make queries in natural language using their device’s voice input.
